This is a finding aid. It is a description of archival material held at the Princeton University Library: University Archives. Unless otherwise noted, the materials described below are physically available in their reading room, and not digitally available through the web.
Overview and metadata sections
The President is the chief executive officer of the University. They preside at all meetings of the boards of trustees and of the faculty and at all academic functions at which they are present and represent the University before the public. The Trustee by-laws charge them with the general supervision of the interests of the University and with special oversight of the departments of instruction.
The collection contains the files compiled by the Office of the President during the presidency of William G. Bowen GS'58 (July 1972 to January 1988). The files consist of correspondence, memoranda, reports, speeches, publications, and other assorted material. Series 18 includes the files of three assistants to the president, biographical and photographic material about Bowen, and a card index of the files. There is some overlap between the files in this collection and the files of presidents Goheen and Shapiro. Records found here are sometimes duplicated in the records of other administrative offices on campus.
The collection is arranged into eighteen series, organized as closely as possible to the original filing system, and a final series comprised of miscellaneous material. Most series contain subseries, each described individually in the description section below. Items in the folders are filed in reverse chronological order unless otherwise noted. The filing system was largely inherited from Bowen's predecessor, Robert F. Goheen '40, and was bequeathed in turn to Bowen's successor, Harold T. Shapiro GS'64. A card index to Bowen's files, maintained by Bowen's secretaries and still usable, can be found as Subseries 18G (boxes 434-450).
The records were received by the University Archives from the Office of the President in March 1989 and July 2001. Subseries 18.3 may have originated in the Office of Public Affairs, not the Office of the President.

Subseries 1A: General, 1967-1987, includes just two folders containing material that could not be accurately filed in another subseries. The first folder consists of miscellaneous records pertaining to academic planning, advisory councils, and academics in general. The second collects material about the remote teaching (VERB) program.

Subseries 1B: Chairmanships, 1971-1987, is almost exclusively about the selection of new department chairs and is organized by department. Department chairs were generally appointed for five-year terms and were selected by the president and the dean of the faculty on the advice of the members of the department. Much of this material consists of frank and often critical memoranda written by faculty members to the president assessing the past service and future potential of their colleagues as department chairs. These appraisals variously consider scholarship, teaching, management, personality, and department politics.

Subseries 1C: Computing, 1983-1984, includes materials relating to computer services at Princeton-especially records from the ad hoc committee on computing, which first established goals of computer literacy and access for the Princeton community in 1983 and 1984.

Subseries 1D: Continuing Education, 1972-1985, documents the continuing education program at Princeton. Assistant to the President Dr. Mary Bunting had special responsibility for the programs while she worked in the president's office from 1972-1974, and most of the material in this subseries is addressed to and from her. In a 1973 memorandum, she lists the following as subsets of Princeton's continuing education program: the Princeton University Conference, the VERB Program, the Mid-Career Program, the Engineering School Short Courses, and the Alumni College.

Subseries 1E: Departments, 1966-1987, contains most of the correspondence with faculty, students, and others relating to specific academic departments, and is arranged by department. Topics include faculty recruiting, appointments, and retention negotiations; student complaints; space limitations and renovation plans; the confidential and public reports of department chairs; and discussions related to resolving departmental disputes. The content of this subseries is similar to that of Subseries 1H and 1I, although information regarding the consideration and appointment of faculty for department chair positions is located in Subseries 1B.

Subseries 1F: Professorships, Preceptorships, and Fellowships, 1972-1987, consists of records regarding the establishment and assignment of endowed professorships, preceptorships, and fellowships. Topics in the general section of the subseries include name designations, the assignment of chairholders, and proposals for chairs in various disciplines. Specific professorship, preceptorship, and fellowship files consist of correspondence with donors, summaries of the chairholders and their accomplishments, press releases regarding the establishment and assignment of the endowed chairs, and memoranda concerning these assignments.

Subseries 1G: Reserve Officer Training Corps, 1970-1987, contains the president's records on the military science department at Princeton and the ROTC program. The subseries includes Bowen's notes used at the open forum on ROTC and the report of the ad hoc committee on ROTC issued in 1972 (in the folder labeled "Open Forum Material"). Also included are the yearly reports of the advisory committee on ROTC regarding the Army program on campus and the Air Force program at Rutgers.

Subseries 1I: Special Programs, 1972-1987, contains memoranda and correspondence with faculty, students, and others related to the special programs at Princeton. Special programs are academic units that operate independently of departments and schools, although their faculties are often drawn from them. Special programs at Princeton included Afro-American studies, the Council of the Humanities, the Princeton Plasma Physics Lab, and the visual arts program. The content of this subseries is similar to that of subseries 1E and 1H.

Subseries 2C: Committees, 1971-1988, is divided into three runs: advisory committees, special committees, and standing committees. Standing advisory committees are filed under standing committees. Folders contain committee agendas, minutes, reports, correspondence with committee members, and clippings related to the committees' areas of responsibility. Because personal information about specific students is restricted by law, files on the judicial committee of the Council of the Princeton University Community (box 91, folders 1 through 3) are closed for 75 years.

Subseries 2D: Departments, 1970-1988, consists of records pertaining to administrative departments and offices, including memoranda and correspondence regarding policy questions and programming, personnel decisions, budget negotiations, and student and alumni relations. Annual reports to the president by administrative departments, when they were issued, are also filed here. Records of controversial issues involving administrative departments or offices include the debate over sex education at the health services department and the food services strike. The files on the admission office are particularly detailed, including admission policy debates, correspondence with prospective students, and contentious admission cases. Of particular interest among these are the folders on coeducation. Because personal information about specific students is restricted by law, all files on applicants (box 99, folder 3 through box 104, folder 11) are closed for 75 years or until the death of the student.

Subseries 2E: Legal, 1972-1987, is divided into two parts: cases and legislation. The cases run contains material related to lawsuits involving the University. While the president was not involved in the day-to-day operation of the University's legal defense, he did involve himself in the most high-profile cases; especially decisions about when to settle out-of-court, how to handle cases from a public relations standpoint, and whether to testify himself. The legislation run contains material relating to the establishment of new federal and state laws and compliance with existing ones. The University was particularly interested in laws affecting public funding of private universities and research, laws enforcing equal opportunity and treatment, and tax laws affecting private donations. Bowen maintained especially strong and sometimes personal relations with members of Congress who were Princeton alumni or who represented New Jersey, and often lobbied them particularly. These files include significant correspondence with Senators Bill Bradley '65 (D-NJ), John Danforth '58 (R-MO), Claiborne Pell '40 (D-RI), Paul Sarbanes '54 (D-MD), and Harrison Williams H'82 (D-NJ), as well as Representatives Millicent Fenwick H'85 (R-NJ), James Howard (D-NJ), and James Leach '65 (R-IA).

Subseries 2F: President's Office, 1972-1988, contains correspondence between the president and various external organizations, businesses, institutions, conference organizers, and individuals. In addition to correspondence, some files contain internal memoranda and notes regarding University policy and involvement with these external groups. Other functions and products of the president's office are documented here, too, such as Bowen's response to the University of California v. Bakke Supreme Court decision (and related correspondence), requests for grants and loans from the President's Contingency Fund, and correspondence related to the president's relationship with the J. P. Stevens Company. Most of the files beginning with the letters A through E are missing.

Subseries 3A: General, 1972-1987, consists of material relating to the alumni in general, or groups of alumni not formalized by membership in a club or association. Among these records are sample letters responding to common alumni concerns, alumni newsletters, alumni relations reports, lists of Old Guard alumni, lists of alumni who requested that their class year be changed, lists of Princeton alumni in Congress, and invitations and plans for various alumni gatherings.

Subseries 3D: Organizations and Events, 1970-1988, contains material relating to various Princeton alumni groups, events, and publications. Events include Alumni Day, the President's Conference, and reunions. Alumni-related publications include the Princeton Alumni Weekly and Prospect, and are documented through memoranda, correspondence, and clippings. These files do not, in general, contain entire issues. The complete runs of these publications can be found in the Mudd Library's reference room or in its P Collection. Correspondence with the various Princeton alumni class associations and regional associations is found here, as is material relating to special alumni organizations such as the Association of Black Princeton Alumni (ABPA) and the Concerned Alumni of Princeton (CAP), the conservative group critical of the administration and responsible for the publication of Prospect magazine. Vigorous defenses (and clarifications) of University policies, from coeducation and sex education to academic free speech and the role of the Gay Alliance, can be found in these files.
